Paperless Filing Systems
Paperless filing system has trace its origin in the 1980’s with the advent of the desktop computer. The
proponents of the paperless filing system feel that with this new device, it would eliminate the use of paper
resources in the future. The paperless filing system would promote waste-awareness and also would try to convert
all paper documentation to digital form as much as possible.
Paperless filing system is a pipe dream because offices still employ the usage of paper in one form or another. A
major reduction in usage of paper is very noticeable. Paperless filing system taps technology to control and limit
the usage of paper. Computers now also have their own version of Post-it notes, a computer application called
stickies. Everything in paper form then, can now be filed in electronic files.
Computers and backup servers are now used to digitally file almost everything. Companies, like those of credit
cards, can send their billing statements through email. Retailers and other companies would send product
information or electronic brochures and fliers via email.
In everyday transactions, a paperless filing system can still be initiated. When one purchases certain commodities,
instead of storing the manuals, one can just download it from the companies’ websites, and then store it in a
folder in the computer. It is advisable to use folders of the computer to categorize the recipes instead of doing a
“scrapbook” type of cookbook. There’s no need to accumulate large volumes of documents. Documents can be
transferred digitally and thus extending the warranty and life of the computer printer.
In conclusion, a paperless filing system is an efficient way of storing important documents. The company saves from
renting expense by just sending all the announcements and memos via electronic mails. Backups should be part of the
system in cases of redundancy. One not only saves space, but also saves the environment
