In a business office setting, it is ideal to have an organized office filing system. An efficient office filing
system helps to keep documents and files in a neat, orderly organized and categorized manner for easy retrieval.
This is important especially if the company expands and the size of the organization becomes bigger, filing systems
become more complicated. This is a good reason why from the very begnning, one should start building an efficient
office filing system.
In order to have a more efficient and usable office filing system, the basic rule is to keep it as simple as
possible. The filing system must consider the people using it so it can be easily understood. First, one should
identify who use the files and how often they are needed. Documents should be categorized in whatever item they
are. If one is unsure of a category of a document, place it first where you think the document is under then ask
the advice of co workers as to what category do they think it’s applicable.
After one is done creating the categories, then it’s time to sort the paperwork. Place the documents in the
designated file systems. Just remeber to file the final or updated documents or else one would keep on changing the
particular designation of a document. After deciding, then label the file folders. Color code is helpful or just
write a title on the folder. Then place all the documents into their approriate file folders and put them in order.
Filing cabinets or mobile filing systems are good for storing files. It maybe helpful to create subcategories,
especially if the file is very thick and the papers cannot be held by the fastener. Avoid filing duplicate copies
for more effciency.
To be very certain that the office filing system is streamlined and safe,assign one person to take charge in
keeping track of the files. People who want to retrieve the files must sign their name in a sign out sheet, so the
moment another person wants to look at the same file, he or she can track the person who is currently utilizing it.
It is a good practice to keep confidential documents in a secure place. Keep in mind to allow people who are
authorized to access the confidential documents.
