Digital Filing Systems
As soon as a company starts to grow, almost all departments need a proper filing system, from operations to
human resources and even management needs it. A file system is a method of organizing computer files and
their data. They are stored in a database for the storage, management, and retrieval of a computer system whenever
the company requires it.
Once a company expands, it is necessary to build an efficient filing system. The era of filling the cabinets with
index cards and papers has ended. Annotating and filing files has been extinct for quite some time now. Digital
filing system is now taking over the space of the filing cabinets.
The digital filing system eliminates the tedious and stressful work of going from one filing cabinet to another
searching for a file that has been there since the cabinet started. Human resource personnel, who needs to verify
background checks, need not complain of looking for personnel files of employees that has left them 5 years or
more. All the time spent looking for this file constitutes a waste of resources. That is why it is suggested that
the company should start adopting a digital filing system.
Each department of the company now has a file system. They bought servers and started scanning all the pertinent
data and stored them in the new database. As new information and data compiles, the companies started to store them
digitally. Company also have to back up their files for the purpose of redundancy. It is handy and easy to use for
those who employ the services of mobile devices. Though these devices may not be usually overwritten and have no
seek latency, their sole objective is file storage. In digital filing, they have to give allowance to revisions and
additions, that is why a network filing system allows access to files by certain individuals.
Digital filing systems does not take up space and helps the environment.
